The last day to register for the Estes Park Meetup is Thursday, July 17, 2025.
There are three registration options for a Meetup, based on your room selection. Regardless of the type of room you register for, every registrant will be charged a $500 deposit fee upon signing up. This deposit covers the costs of content, venue, and food provided by Family Teams.
Your remaining room rates will be charged automatically on Day 1 of your Meetup. Read below for each option breakdown.
(1) NO Room: $500 deposit only. These individuals are responsible for securing their own lodging.
(2) SHARED Room: $500 deposit + $150 room rate.
(3) PRIVATE Room: $500 deposit + $375 room rate
We will cover one awesome kickoff dinner on the first night back together, as well as covering all the costs of the meeting space/venue. We do not cover airfare, rental car, other meals, etc. However, we have secured a large property with awesome subsidized rates for everyone wishing to stay on site in a private or shared room.
Plan to kick things off on Day 1 by 6:00 PM. We will wrap up the final day by 1:00 PM.
Special Note for Colorado Meetups: Note that drive time from the Denver airport to Estes is close to two hours. Please use all this information to plan your flights accordingly.
For the Colorado 2025 Meetup, if you will be staying in one of the lodges, you will not be able to add an extra night to your registration. Because Estes Park reservations are for entire lodges, and not individual rooms (as with a hotel), we do not have flexibility in this way.
If you need to add an extra night due to your travel arrangements, we recommend you book a hotel elsewhere (at your own expense) to accommodate that.

Please note that all travel expenses are covered by the member, not Family Teams.
Best way to make any changes or cancellations to your reservation (such as switching from Group B to Group A) is to contact our Support Team. You can do this by emailing them at [email protected]
This is up to the member. In making this decision, please know that unless otherwise stated, we do not offer scheduled programing for spouses, children, or families. This means they will be on their own while you are present in Meetup sessions.
Some members have brought along their sons to attend alongside with them. This is generally encouraged, but we recommend you reach out to Jeff or Jeremy prior to the Meetup regarding this.
If you'd like to bring your family to our Colorado Meetup you will need to book your own private cabin to do so. For our Franklin Meetup, bringing your family may alter your type of reservation or may require you to book two reservations to accommodate your family's size.
If you plan to bring your family to our Colorado Meetup, you will need to rent a private cabin for yourself (or with another Integrated family). We cannot reserve these for you and they are registered for through YMCA directly at a first-come, first-serve basis. You may use this link here to look into their cabin reservation options.
Being an active YMCA Member allows you slight discount when reserving and, most importantly, early reservations. Typically (we are not the YMCA, so please check this on your own), cabin rentals are released to the general public by YMCA on April 1st. There has been some discrepancy as to whether you need to be a YMCA Member for the year prior to making your cabin reservation to access this benefit. Family Teams is not responsible for understanding YMCA's policies around this; so please call them and ask for their assistance. You can read more about becoming a YMCA Member here.
You can reserve a cabin WITHOUT being a YMCA Member, and the prices tend to be reasonable. You may search for cabin reservation options here.
This is entirely up to you, and if done so, is at your own expense. Family Teams does not cover travel costs or car rentals.
In the past, several members have worked together on the timing of their arrivals and have shared a rental. Uber has also been a frequently used services while at Meetups. Generally, everyone tries to work together to be sure rides are shared. Best way to do this is to communicate in the Slack group the day before or day of the Meetup.
While our Support Team does their best to respond to things in a timely manner, they only work normal business hours. If you have an emergency or are afraid email may be too slow, we HIGHLY RECOMMEND you post a message in the Slack group or send a DM to Ang in that group.
